Ruby + Grasshopper Quick Start Guide

Grasshopper and Ruby have teamed up to provide Grasshopper customers with Ruby’s award-winning receptionist service through your existing Grasshopper account. Getting started
First things first — set up your Ruby login! You can access your Ruby account 2 ways: from the my.call-ruby.com website and from the Ruby mobile app, available for both iOS and Android. Both give you access to all your call activity, allow you to update your Status when your availability changes, and much more. Get started by setting up your login and taking a tour!

Forward your calls
Once you've set your account, it's time to get your calls over to Ruby! Call-forwarding can be set up on your Grasshopper account in several different ways, depending what works best for you and your business. 

Forwarding Calls with Grasshopper 

Once we’re receiving your calls, we’ll send you a message whenever we’re not able to connect a call to you. All of your messages will be emailed and/or texted to you, and are also accessible in the Activity section of the Ruby app and online portal. Your messages will contain a lot of helpful information about your calls. Not seeing everything you’d like to see in your messages? We can customize them for you!

Since Ruby is an add-on service to your Grasshopper account, the Grasshopper Care Team is delighted to assist you with any billing questions. Grasshopper offers three different pricing plans – Starter, Grow and Elevate. To learn more, click here.

Your Ruby service is billed based on receptionist minute usage.

What is a “receptionist minute”? 
Receptionist minutes are billed in 30-second increments, and calls are rounded up to the nearest 30-second mark. As an example, if a call is ten seconds long, it will be billed as 30 seconds (or half of a receptionist minute). 
 

  • For inbound calls, receptionist time is calculated starting from the time the receptionist receives the call and ends when a receptionist transfers the call (either to someone, to voicemail), or otherwise disconnects because the call is over. Calls are rounded up in 30 second increments. We include hold time, and exclude talk time once a call is transferred to you or your voicemail box.
  • For outbound call assists, receptionist minutes are calculated by counting the time our outbound call specialist is on the call, as well as the time they spend sending a follow-up email to fill you in on the results of the call.


Do my unused minutes roll over?     
No, unused minutes do not roll over. However, if you notice you’re not on the most cost-effective plan for your usage, let us know and we can help you optimize your account to use the minutes most efficiently! 

What happens if I go over the number of receptionist minutes included in my plan?  
If you exceed the number of minutes included in your plan, any additional minutes used are billed at your billing plan’s predetermined per-minute rate.  

How do I keep track of my receptionist minute usage? 
You can keep track of your receptionist minute usage in your Grasshopper account. Your usage is updated approximately every 5 minutes. You'll also receive an email alert from Grasshopper once you've used 75% and 100% of the minutes included in your billing plan.

TIP! If you use Grasshopper’s virtual fax service, we recommend you set up a separate fax number in addition to your business phone number, as Ruby is unable to receive fax transmissions. Grasshopper can provide a fax number so you'll be able to receive your faxes through Grasshopper and incoming calls through Ruby.

Voicemail 
When Ruby is enabled, voicemails will come from Ruby’s voicemail system. Ruby voicemails will be emailed to you directly, and available in the Ruby app and online portal. When Ruby is not enabled, any voicemails left directly on your Grasshopper number will still come through your Grasshopper app and email as normal.
