By default, Calendly has their “automatic time zone” feature activated. For most of their clients this works wonderfully, but Ruby is a little special. If we’re scheduling your appointments, we have receptionists working in time zones across the US - so it will default to the time zone they're located in. As a result, our receptionists would then have to manually select the correct time zone for the caller which leads to the greater potential for human error. We have found that we’re most successful with scheduling appointments when there is more automation to the process. For this reason, we require that you lock the time zone for any scheduling links you'd like Ruby to use.
You can lock the time zone of your Calendly event using the following steps:
STEP 1: Log in to your account at calendly.com
STEP 2: From the Dashboard, select your event from the bar at the top of the page and click Edit
STEP 3: Click on When can people book this event? to view the event options
STEP 4: Scroll down to the calendar, and make sure the correct time zone is displayed in the top-left corner.
STEP 5: Continue to scroll down to the bottom of the window, and click Additional rules for your availability.
STEP 6: Scroll down to Time Zone Display, and choose Lock the Time Zone
STEP 7: Click Save & Close to save your changes
